$1,500 · One location · Up to 25 estimates

See what the next person can learn from your estimate records.

A reviewed list of recorded reasons, missing context, and recommended next actions. Start with up to 25 unresolved replacement estimates before deciding on a larger project.

The question we work through

“If someone picked up this estimate today, would they know what the customer said, what has already happened, and what to do next?”

We select up to 25 unresolved replacement estimates together from the last 90 days. The selection is documented so you know which records the findings cover. We distinguish a reason the record supports from an unanswered question or a genuine unknown.

What you receive

  • Records selected together from the last 90 days
  • Customer statements, staff interpretations, system statuses, and unknowns distinguished, with prior contact and a recommended next action and responsible role
  • Written findings and one 45 minute handover session
  • Delivered within 10 business days after the agreed records and access are complete

For each estimate, see the customer’s recorded position, prior contact, what remains unknown, and the recommended next action with a responsible role. That may mean answering a recorded question, honoring a requested callback, or closing a record after a final decision. Customer statements, staff interpretations, and system statuses stay separate, with the available source and date. A status set by an automation does not by itself tell us why the homeowner did not proceed.

An example of a finding

The customer asked whether labor was covered by the warranty. Their question is in the notes, but no answer or assigned advisor is recorded. Recommended action: have the sales lead check whether an answer was given and assign any outstanding response.

Illustrative example. Missing documentation alone does not prove the team failed to reply.

Agree exactly which records we review

Before payment, the written scope lists the selected estimates, the date window, and how proposal options and revisions count toward the 25 record limit. Alternatives for the same customer decision are linked so their quoted values are not added together as separate jobs.

We also agree which notes, contact history, and attachments the review includes. Call recordings or transcripts are reviewed only when explicitly authorized and included in that scope. An export with missing history may require additional inputs before the review can begin.

What we need from your team

One contact who understands the estimate process, the selected estimates with available notes and contact history, and agreed access or a usable export. We confirm these inputs before accepting payment. The 10 business day delivery window starts when they are complete; any later access interruption is documented with a revised date.

This is a review of existing records. We do not contact customers or change your system within the Pilot. A missing reason stays unknown unless there is evidence for it. Suggested next actions remain subject to your customer contact rules and approval.

The responsible role in the findings is a recommendation, not a live assignment. Your team confirms who takes the action and carries it out unless further work is separately agreed. We identify who will provide the records and answer process questions before you decide to proceed.

How you check the findings

Each finding points to the estimate and the available evidence behind it. During the handover, we work through the recommendations and any missing context with your contact. Raise a disputed finding with the research lead through the agreed contact channel. We review it against the records, correct errors, and note what remains uncertain. The written scope sets the review period and how revised findings are delivered.

Completion means the agreed records have been reviewed, the findings and evidence have been delivered, and the handover has taken place. Every selected record receives a disposition, including records whose reason or appropriate next action remains unknown. Finding a reason for every estimate or producing a sale is not a completion condition.

What happens after the Pilot

You keep the findings. The recommendation may be a small internal change, a full Diagnostic, or no further work. There is no automatic Build or monthly service.

If the same work carries into a full Diagnostic for the same location and record window, the $1,500 paid is credited toward its $3,000 total. The remaining fee is $1,500. We confirm the credit and the additional work in writing before you proceed. Reused Pilot records count within the Diagnostic’s 100 record total.
