Kopikat Research is based in Chicago, Illinois and provides research and process improvement services to HVAC businesses across the United States. This notice covers visitors to kopikat.io, people booking calls, and business contacts communicating with us. References to “we” and “our” mean Kopikat Research.

When a shop gives us customer or staff records for an engagement, we handle those records for the agreed work under its instructions and the applicable engagement terms. Our confidentiality page explains that process. This notice does not replace the shop’s own privacy notice.

When you email, call, or book a meeting, we receive the contact details you provide, such as your name, company, email address, phone number, and the content of your message. Booking records include the meeting type, date, time zone, and booking status. We may keep notes about your inquiry and records of correspondence, email delivery, and contact preferences.

For business outreach, we may obtain professional contact details from company websites, public business listings, referrals, and prior conversations. These can include a business address, role, phone number, and work email. Public availability does not remove your ability to ask us to stop contacting you.

The website host processes technical information such as IP addresses, requested pages, browser information, timestamps, and errors to deliver and protect the site.

We use GoHighLevel for business calling and call recordings. Recordings may contain your voice, contact details, and information discussed during the call. They are used to review conversations, improve how we explain our work, and keep track of relevant next steps.

Recording requires the notice and consent applicable to the call. This privacy notice does not itself provide consent to record. If you prefer an unrecorded conversation, tell us before discussing information or contact us by email to arrange one. You can contact us about access to or deletion of a recording using the details below.

We use information to answer inquiries, assess whether our services fit a shop’s needs, arrange meetings, send relevant business follow up, deliver agreed services, and keep business records. Technical and delivery records help operate the site, resolve errors, prevent abuse, and avoid duplicate messages. Contact preferences help us honor requests to stop outreach.

We do not sell or rent personal information or share it for advertising targeted across different businesses’ websites. A shop’s customer records are not a prospect list for marketing Kopikat’s services.

The booking page loads a calendar from Cal.com. Loading that page connects your browser to Cal.com, which receives technical information even if you do not complete a booking. Information you enter to book a call is processed by Cal.com and passed to us and the connected calendar services needed to arrange it. You can arrange a call by email if you prefer not to use the embedded calendar.

The website uses Vercel for hosting and Cal.com for booking. Kopikat also uses Supabase for separate business systems. The current website deployment does not use its optional Supabase booking and email records or Resend email delivery. Business email and calendar services also process our correspondence and meeting details. Providers receive information needed for their functions. GoHighLevel also processes business contact records, call details, and recordings. Tools and access for a client engagement are addressed separately before records are shared.

Provider information is available from Vercel, Cal.com, Supabase, Resend, and GoHighLevel. Their notices describe their own practices; this notice describes Kopikat’s use of your information.

We do not currently add advertising pixels or a separate visitor analytics tool to the public site. Embedded services may use cookies or similar browser storage for their functions. You can control cookies through your browser, although blocking them may affect booking. Provider processing may take place in the United States or other countries where those providers operate.

Retention depends on the reason for keeping the information. Inquiry and correspondence records and call recordings support the business relationship and review of conversations; booking and delivery records support scheduling and troubleshooting. Contract, payment, security, and dispute records may need to be kept longer for their related obligations. We may retain a limited record of a request to stop contact so that the request continues to be respected.

You can ask for deletion. We will explain any information that needs to be retained and why. Deletion from active systems may not immediately remove copies in provider backups; those copies remain subject to the provider’s retention process. Client working copies have a return or deletion arrangement in the engagement terms.

Information may also be disclosed when legally required, or as reasonably necessary to address fraud, a security issue, or a legal claim. No website or communication system can guarantee complete security. Please do not send passwords, payment card details, financing applications, or customer files through the booking form or an initial inquiry.

Write to inquiries@kopikat.io to ask about information we hold about you, request access, correction, or deletion, or stop business outreach. You can also reply to an outreach email asking us to stop. Necessary communications about an active engagement may continue.

Tell us enough to locate the relevant record. We may need to confirm your identity or authority before releasing or changing information. Rights and exceptions depend on applicable law. If a request concerns records we handle for an HVAC shop, we may need to coordinate with that shop; you can also contact it directly.

This site is intended for business users and is not directed at children. If you believe a child has provided personal information, contact us so we can address it.

We update the date above when this notice changes. Where a change in how information is used requires additional notice or permission, we will provide that notice or seek that permission before the new use. Updating this page does not change a signed engagement.
